Human-approved by design
Your next estimate, already drafted.
Penquote turns incoming enquiries into branded estimates using your pricing rules and your templates. You review the details. Nothing sends without you.
| Base janitorial, 4,200 sq ft × $0.14 (illustrative rule) | $588 |
| Floor waxing / carpet steam | Not included |
| Monthly draft, before your review | $588 |
Quoting shouldn’t mean retyping.
Every enquiry means reading an email, pulling out the details, opening a template, doing the math and writing a follow-up. Meanwhile the next enquiry is waiting. Penquote does the first pass so your estimator can spend time on judgment, not typing.
A service built around your quote desk.
Not another generic AI subscription. Penquote is configured around the way your team actually prices work.
Bring one enquiry stream
Start with a shared inbox or web form. No need to replace your accounting, CRM or email tools.
Teach it your logic
We map your rate card, minimums, templates, exclusions and the questions your estimator always asks.
Get a structured first pass
Job details are extracted, approved rules applied, and gaps flagged instead of guessed.
Keep the final say
Your team adjusts, approves and sends. The system supports judgment; it doesn’t replace it.
Demo audit: how a draft gets built.
Illustration, not any business's prices. No Huntsville commercial cleaner we checked publishes a commercial rate card, so this demo uses public figures, cited below, to show the method. In a real audit we swap in your own rate card.
“4,200 sq ft insurance office, nightly Mon–Fri. Can you quote?”
- Rule applied: published Huntsville janitorial range of $0.10–$0.17 per sq ft (midpoint $0.14)1
- Draft range: $420–$714; draft figure at midpoint: $588
- Scope copied from the source: vacuuming, mopping, light dusting, restrooms, trash
- Excluded and flagged: floor waxing, carpet steam cleaning, exterior windows
- Flagged for a person: billing period, 5×/week frequency, after-hours access
“The owner also wants a move-out clean of their 3-bed rental.”
- Rule applied: published from-prices of regular from $195, deep from $330, move in/out from $3902
- Draft line: move-out clean, from $390

The useful questions.
The boundaries matter as much as the automation.
Is this AI?
Yes. Drafts are prepared with AI software working from your rules and templates, then checked by a person on our team before they reach you. You approve every estimate before it goes to a customer.
Does Penquote send estimates automatically?
No. The service is designed around human approval. It prepares the draft and follow-up, but your team decides what is ready to send.
How does it know our pricing?
Setup uses the rules, rates, minimums and examples you provide. If a job falls outside those rules or details are missing, the draft flags it for review.
Does this replace an estimator?
No. It reduces repetitive extraction and document preparation. Estimators keep pricing judgment, exception handling and customer relationships.
Do we need to replace our current software?
No. The pilot uses one enquiry source and your existing estimate template. Deeper integration comes only after the workflow proves useful.
What would we need to provide?
A blank estimate template, your current pricing rules, several representative past enquiries, and a list of details that must always be reviewed by a person.
What happens to our customers’ information?
We use only what you send, only to prepare your drafts, and we put data-handling and deletion terms in writing before the pilot starts.
